TIME
Running a club is a second job nobody applied for.
Victoria has tens of thousands of incorporated associations, almost all run by volunteers. The law asks a lot of them — and the paperwork usually lands on one tired secretary with a spreadsheet and an inbox.
Today Spreadsheets, emails and guesswork
- A members list nobody is sure is up to date
- Chasing fees member by member
- Meeting notices sent late or without the proxy form
- “Ratifying” decisions by email chains the rules don’t allow
- Deadlines with the regulator missed, then a scramble
Instead One place, done properly
- A register of members kept the way the law asks
- Members renew and pay online, straight to the club
- Notices issued with the right notice period, automatically
- Votes and ballots run the way the club’s own rules allow
- Reminders well before every deadline
One service, a desk for each role.
Each office-holder logs in and sees the jobs that belong to them. In a small club one person often wears two hats — they simply see both desks.

- Enforces notice periods and includes proxy forms
- Runs secret ballots for contested elections
- Only offers remote voting or circular resolutions where a club’s rules permit them

This is an early-stage project, not a finished product. We’ll prove it with real clubs before we offer it widely.

Frequently asked questions
Is this only for Victorian associations?
To start with, yes — the first version is built around Victoria’s Associations Incorporation Reform Act 2012 and Model Rules. It is designed so other states’ associations laws, and other kinds of community organisation, can be added later.
Our club has its own rules, not the Model Rules. Does that matter?
No. During set-up the club records where its rules differ — for example a longer notice period, or whether it allows voting before a meeting — and the service follows them.
Does it give legal advice?
No. It helps a committee follow its own rules and the Act, and reminds it of deadlines. It is not a substitute for advice on a particular problem.
Who holds our members’ money?
The club does. Members pay straight into the club’s own payment account. Spreadable Ideas only receives the club’s annual subscription.
What happens to our records if we leave?
They belong to the club. The club can download its register, payments, minutes and documents at any time.
Why association.asn.au?
Because the service exists for one purpose: helping Australian associations run themselves well. It is operated by an incorporated association, for incorporated associations.
Would your club like to be part of the pilot?
We’d love to hear from secretaries, treasurers and committees of Victorian incorporated associations — especially smaller clubs doing it all by hand.
